Job Description:

Reporting to the Manager, Business Applications, the M365 SharePoint/Power Platform Administrator supports and enhances digital collaboration and automation capabilities within the City. This role is responsible for the administration, configuration, and support of SharePoint Online, Power Platform (Power Apps, Power Automate, Power BI), and Office 365 services. 

Responsibilities:

  • Administer and maintain SharePoint Online environments, including site collections, permissions, license management, content types, and workflows
  • Design, develop, and support Power Apps and Power Automate flows to streamline business processes across departments
  • Create and manage Power BI dashboards and reports to support data-driven decision-making
  • Collaborate with departments to gather requirements and implement Power Platform low code solutions that improve efficiency and service delivery
  • Ensure compliance with governing legislation, Records and Information management policies, data governance, and security standards
  • Provide end-user support and training for SharePoint, Power Platform, and Office 365 tools
  • Monitor system performance, troubleshoot issues, and coordinate with Microsoft support as needed
  • Manage document management systems, version control, and records retention policies in accordance with municipal policies and By Laws (SharePoint Retention Labels, file plan updates, policy controls etc)
  • Lead or support digital transformation initiatives, including migration of legacy systems to SharePoint Online and integration with other municipal systems
  • Stay current with Microsoft 365 product roadmap, updates, new features, and best practices; assess their applicability and lead implementation where beneficial
  • Create and maintain comprehensive documentation for system configurations, workflows, user guides, and training materials
  • Support IT projects and operations activities related to collaboration, automation tools, and enhanced user adoption
  • Coordinate with third-party vendors and Microsoft support for escalated issues, advanced configurations, ongoing maintenance, and performance evaluation. Act as liaison between vendors and business users for product roadmap and features implementation
  • Perform other duties as assigned

Requirements:

  • Completion of a four (4) year university degree in Computer Science or related field, and a minimum of three (3) years’ experience with SharePoint Online administration and/or development including workflows, automation, data governance, or an equivalent combination of education and experience
  • Advanced experience with the Microsoft Office 365 platform, including SharePoint, Teams, and the Power Platform (Power BI, Power Automate, Purview, Copilot, etc.), as well as familiarity with data modeling, DAX, Azure Data Factory, and Microsoft Fabric
  • Strong knowledge of Microsoft 365 deployment models, Azure and Azure Administration, Active Directory, Domain Administration, and Microsoft Entra
  • Knowledge or applicable records and retention legislation such as MFIPPA, Protection of Privacy Act, etc.
  • Excellent communication skills, with the ability to interact effectively and tactfully with senior management, staff, external agencies, and vendors
  • Strong administrative, analytical, technical, and problem-solving skills, with demonstrated abilities in research, reasoning, and documentation
  • Proven skills in change management, including the ability to support and adapt to organizational transitions effectively
  • Demonstrates initiative, self-reliance, a strong sense of responsibility, dedication, and sound decision-making abilities
  • Able to work effectively under pressure in a fast-paced environment, manage competing priorities, meet tight deadlines, and respond to crisis situations
  • Microsoft certifications (e.g., PL-100, PL-200, MS-600, or equivalent) are preferred
  • Experience with Azure Active Directory, Microsoft Entra, or Microsoft Purvie is an asset
  • Knowledge of municipal operations or public sector IT environments is preferred
